Retail Compliance

A compliance deduction is a fee for missing a retailer requirement — labeling, pallet configuration, ASN accuracy, carton markings, packaging, documentation, appointment rules, or other routing-guide and vendor-guide standards. It is usually a fee, not a merchandise short-pay, though it arrives on the same remittance.

Why Retailers Assess It

Retailer buildings are designed for a standard inbound. When a load does not match the standard, someone has to rework it. Compliance programs price in that rework and the risk of a broken process. The deduction is the price list applied to the miss.

How to Validate

  • Identify the exact rule and the exact fee in the vendor or routing guide that applied on the ship date.

  • Match the shipment — PO, ASN, trailer, appointment — to the claimed miss.

  • Ask whether the retailer has a photo, scan, or receiving notes, not only a code.

  • Check for stacked fees: ASN, label, and pallet charges on one receipt.

  • Confirm the guide version. Requirements change. Claims often cite a rule that was not in force.

Documents You Typically Need

  • Vendor guide and routing guide effective on the ship date

  • PO, ASN, and bill of lading

  • Label, pallet, and carton specifications you shipped to

  • Appointment confirmation

  • Receiving notes or photos when available

  • Fee schedule tied to the cited violation

* Additional documents may be needed depending on the retailer and claim type.

Common Causes

  • ASN late, missing, or mismatched to the trailer

  • Wrong SSCC, UPC, or pallet label

  • Pallet height, TI-HI, or mixed-SKU rules missed

  • Documents not in the required pouch or portal

  • Packaging or inner-pack changes that were never updated in the item file

Recovery Notes

Compliance fees are specific. A letter that says “we always follow the guide” will not land. Cite the rule, the date, and the evidence. If the miss is real, stop paying to relearn it — the recurring fee is more expensive than the process fix. If the fee is miscoded or stacked, dispute the extras first.
