Deduction Library / Rollbacks

Rollbacks

A rollback is a temporary or program-driven price reduction at retail — most familiar in mass and club — that the retailer expects the supplier to help fund. The deduction collects that funding against invoices or as a later billback. It looks like an allowance and like a markdown. It is its own event, with its own rules.

Why Retailers Assess It

Rollbacks are a retail pricing tool. They move volume and traffic. The retailer funds part of the lower shelf price by collecting support from the supplier. If the item is on rollback, the system will look for that money whether or not sales signed a clean event sheet.

How to Validate

  • Confirm the item was actually on rollback for the dates claimed, in the banners claimed.

  • Match the rate and the unit basis — scan, ship, or inventory — to the agreement.

  • Check start and end dates. Rollback claims often run past the shelf event.

  • Look for a pricing deduction or allowance taken on the same units for the same weeks.

  • Ask who initiated the rollback: supplier-funded event, or retailer-led price move billed after the fact.

Documents You Typically Need

  • Rollback or TPR agreement

  • Item, banner, date, and rate detail

  • Scan or shipment performance for the event

  • Invoice and remittance

  • Retailer event calendar or portal notice

* Additional documents may be needed depending on the retailer and claim type.

Common Causes

  • Retailer-initiated rollbacks billed as if they were supplier events

  • Units or weeks outside the agreed window

  • Funding taken twice — rollback plus billback, or rollback plus cost file change

  • Event extended at retail without a new agreement

Recovery Notes

Treat rollbacks as events, not as a mood. If there is no event sheet, the first job is to establish whether support was ever authorized. If there is an event sheet, audit dates, banners, and units before the debit is accepted as the cost of doing business.
